COVID-19 Infection Control Guidelines for SEMICON Japan 2021 Hybrid
Your health and safety are our top priority at all SEMI events. SEMI monitors developing national, prefectural and local health and safety recommendations and requirements to determine the most appropriate safety protocols for our in-person events. The SEMICON Japan COVID-19 infection control guidelines outlined below continue to evolve and will be updated to help support a safe experience for all visitors, exhibitors and staff onsite, hereinafter referred to as “participants”.
Entry to the Venue during Event and Move-in/Move-out Dates
- Please do not visit the exhibition site if you:
- Have a temperature of 37.5°C (99.5°F) or higher, have difficulty breathing, are severely drowsy, or even just have mild symptoms such as coughing or a sore throat.
- Have hadclose contact with a person who has tested positive for COVID-19 infection.
- Have traveled in the past 14 days to a country or region where the Japanese government is imposing entry restrictions or requiring a period of observation after entry, or have in the past 14 days been in close contact with a resident of such a country or region.
- Before visiting the exhibition site, please be sure to install the COVID-19 Contact-Confirming Application (COCOA)* on your smartphone. - All visitors are requested to ensure they practice cough etiquette, wear a mask, wash and disinfect their hands, and take measures to prevent airborne infection, etc.
- We will take the temperature of all facility visitors using thermo cameras or non-contact clinical thermometers installed at the venue entrance, and will refuse entry to those with a temperature of 37.5°C (99.5°F) or higher.
- If you are not wearing a mask correctly, you will not be allowed to enter the venue.
Infection Prevention Measures to be Taken by the Organizer
- The reception area will be covered with acrylic panels or transparent vinyl curtains.
- Ensure the social distance of waiting lines at the entrance.
- Disinfectant is available at the entrance of the Exhibition Hall, and visitors are requested to disinfect their hands.
- Disinfection of high frequency contact areas for unspecified people and items shared with others.
- Announcements will be repeated in the building to remind people to avoid close quarters.
- Adequate ventilation of the venue will be provided by opening the loading/unloading shutters and operating air conditioning.
- As a rule, there will be no trash cans in the venue, so participants will be requested to take their trash home.
- Participants are requested to refrain from loud conversations and calling out to each other, including during business meetings and explanations. If you do not comply with this rule, the secretariat may issue a warning.
- Create and maintain a daily roster of staff members of the company and its subcontractors who attended the company's booth for explanations and other purposes.
- The capacity of the lecture hall will follow the instructions of the Tokyo Metropolitan Government and respond appropriately to the guidelines of Big Sight.
- Splash shields will be installed on the podiums of the speakers and moderators to ensure that there is sufficient distance between the speakers and the front row of speakers.
- The venue will be ventilated periodically before and after lectures and during breaks.
Infection Prevention Measures Requested of Exhibitors
- When inviting clients, let them know that their temperature will be taken at the venue and that they must wear a mask.
- Please consider and arrange for a minimum number of briefing staff to stay during the same time and wear the necessary protective equipment (masks, face shields, etc.) for the task.
- Please prepare your own masks and alcohol disinfectant for hand sanitizing and sterilization to be used in your booth.
- Please refrain from talking loudly and calling out to others, including during business discussions and explanations.
- Please be flexible in adjusting demonstration and business meeting times depending on the number of visitors to your booth, so as not to create a dense situation.
- Please consider digitizing your product brochures, company brochures, and other materials.
- Wipe down and disinfect frequently touched areas in the company's booth multiple times daily, and disinfect tables, chairs, and products used for business meetings after each meeting.
- Please take all trash generated at your booth with you as much as possible.
- In preparation for an outbreak of infection, please prepare and properly manage a list of visitors and a daily list of your own and subcontractor staff, taking care to handle personal information. Please keep the list for at least three weeks. In the event of an outbreak, please be prepared to submit the list to the public health center or other relevant organizations.
- Booth construction
- When designing a booth, please allow more space than usual to minimize the risk of densification.
- As for the construction rules for exhibitors' booths, please try to avoid designs that are burdensome to work with on site, such as two-story structures, in order to shorten construction time and reduce the number of construction workers, thereby ensuring a safe working environment.
- If the layout is such that visitors will be facing each other in the business meeting area, make sure that both parties wear masks, and if necessary, install anti-scattering sheets or other shielding materials to prevent droplet infection. In such cases, consult with the construction company, and in principle, avoid installing near heat sources such as fire equipment, appliances, and incandescent lamps. If necessary for infection prevention, use flame-resistant materials (flame-retardant, non-combustible, flameproof products, etc.).
What to do in the event of a suspected infection
In the event of COVID-19 infection among related personnel or visitors during or after SEMICON Japan 2021 Hybrid, SEMI will report the date, time, and details of the COVID-19 patient's visit to Tokyo Big Sight. In addition, registered personal information may be provided to public health centers and other government agencies as necessary. Please be aware of this in advance.
While this event will take the utmost measures to prevent COVID-19 infection, it does not guarantee that infection will be eliminated. It is intended to reduce the risk of infection. Elderly people who are likely to become seriously ill in the event of infection, and people with underlying medical conditions, etc., are requested to participate in this event after making a careful decision.
